How to connect SingleCase to your mailbox via IMAP

Because there are more than just Outlook

You can attach any email with attachments to SingleCase, not only using the Outlook add-on, but also from any other email account using the IMAP protocol.

Setting up IMAP synchronization in SingleCase

Select "My Name" -> Mail and Calendar Settings in the menu

Select the "Synchronization of e-mails from the mailing" tab,

Next, fill in your email access details and check the "Automatic synchronization of messages" box. You will enter the same access details as you do in Outlook, for example.

Finally, click the "TEST IMAP CONNECTION" button. If the connection is working, a green confirmation message will appear in the lower right part of the screen. Then, simply click "Save".

Within a few minutes, a SingleCase folder will appear in your mailbox, with subfolders for clients and individual cases. To upload an email to SingleCase, simply move or copy the email to the file folder.​

What problems may appear

With most email service providers, everything will work without any major problems. However, there may be some situations that will need to be resolved before IMAP synchronization can be enabled:

  1. You are using Outlook (or another email client) via the POP3 protocol. In this case, you need to switch your email client to the IMAP protocol. POP3 downloads email to your PC and deletes it from the server (sometimes with a delay), which prevents synchronization with SingleCase.

  2. Gmail - you might need to enable the IMAP protocol in your email. Please contact us for details.

  3. You do not know the exact settings for the server address, port, and security. In this case, please contact your provider or IT administrator, who will provide you with the information.

  4. Your provider does not support one of the necessary functionalities - please read the section below.

  5. Another problem occurred and the connection test reports an error. In that case, please contact us by phone or email at support@singlecase.cz

What your mail provider must be able to do to make it work properly

  1. It must have a trusted certificate for encrypting communication between SingleCase and your mail server.

  2. It must support subfolders in e-mail (today, perhaps only e-mail centrum.cz and seznam.cz do not support this).

  3. Of course, it must be able to use the IMAP protocol (again, the vast majority of providers support this protocol today)
