If you sign in with a Microsoft 365 account or have mailboxes connected via IMAP, you can use email synchronization from Outlook or other email clients. Feel free to do this from your mobile device.

How it works
1. SingleCase automatically creates and maintains the structure of your active Outlook files:
creates a SingleCase folder in your inbox
creates client folders underneath it
underneath it, creates folders of active files (and subfolders, if you use them) to which you are assigned
if a file is deactivated or you are removed from it, its folder is moved to a special folder called Archive
2. You can use the client and case folders to sort your mail as you are often used to (most of you create similar folders manually and sort emails into them). You can move emails using drag & drop or Outlook options (Move to / Copy to).
Folders behave just like any other folders in your Outlook - you just have to maintain them without the work.
3. Within minutes of being added to SingleCase, the entire email is copied to SingleCase and unzipped into the mail of the corresponding file. All attachments are placed in the Mail Documents / Inbox folder and merged with the incoming email.
FAQ
Can I see other colleagues' embedded emails in my Outlook?
No. The only place of truth that collects all embedded emails for a given case is in SingleCase. In Outlook, you will only ever see your attached emails in the folder.
Can I move or just copy emails into folders?
You can do both as you like - in the first case they will disappear from the Inbox, in the second case they will be in both the Inbox and the destination folder
If I move an email, can I still find it in Outlook?
Yes, you can find it by default using the search.
Can't I accidentally delete a folder if SingleCase manages it?
No. Folders, once created, are never deleted. If a case becomes inactive, we just move it to your Archive.
If I delete an email from a file folder in Outlook, will it stay in SingleCase?
Yes, deleting it in Outlook will not cause it to be deleted from the case mail. In addition, the original message in EML format is also available in SingleCase.
If a colleague and I receive the same email and sort it twice, will there be any duplication?
No, when uploading we always check if a particular email is already in the case.
If I use Apple Mail, Thunderbird or web-based Outlook, will this work?
Yes! Email synchronization works regardless of the mail client.
Troubleshooting
I have put the email in a folder but I don't see it in the SingleCase file
a) Check that you have not accidentally put the document in the client folder - for correct loading you need to put the email up to the case/subcase level
b) Check that you are not pasting it into an inactive case folder (in Outlook it is under the Archive folder)
c) Wait a few minutes and then contact our technical support.
How to set up the connection
If you are using a Microsoft account login, you do not need to do anything further. If you still do not see the folders in Outlook, please contact us to enable the service for your office.
If you are using a different email server, follow the instructions to connect SingleCase to your email account.
