Octoiur - how to use with SingleCase

When connected to Octoiur, you can work on appeals or court filings directly from SingleCase. How does it work?

Prerequsites

In order to connect SingleCase to Octoiur, three things need to happen:

  1. Installation files of the Octoiur add-in configured to be used with SingleCase. In order to get them, please contact Octoiur directly and inform them that you are planning to use SingleCase. They will prepare the files for you. Important: even if you used Octoiur with your previous case management software, you will need Octoiur to prepare updated files for you.

  2. Document templates (usually Brief & Empty) from Octoiur. Again, these will be prepared for you by Octoiur, but please don't hesitate to contact us before you upload them. We can align them so they fill in data from SingleCase, which they will not by default. In any case, they need to be resaved from DOTX to DOCX before upload to SingleCase. Please ask our support for help.

  3. Finally, you have to have your Microsoft account connected to SingleCase. This is how to do it. Again, don't hesitate to ask our technical support for help.

How to turn on the feature

Once the Microsoft account is connected with your SingleCase, please inform our technical support and ask them to turn on the Octoiur feature. Also, provide them with the prepared Octoiur templates that they will upload.

Our support will then organise a short 15-min call with your Microsoft administrator to turn things on and setup the connection. From that time you are good to go!

How to work with Octoiur documents in SingleCase

1. First, any court filing needs to be initiated from SingleCase. In any case/matter, you can click on Create and choose from the available document templates:

2. Next, you can give a desired name to the document, as well as have it prefill any contact information to the document (availability depends on the template).

3. Now, your browser should ask you about confirmation / allowing to open Word document. Allow it & check the "Always allow" option. From this time, the messages should never appear again.

4. If all went file, your Octoiur document should open in Word. To confirm it was opened properly, you can check that your Octouir ribbon in Word will now contain clickable icons. Also, the document in SingleCase will show a nice yellow Octoiur icon.

Note: if it doesn't, make sure that your SingleCase account is connected with Microsoft. If the document still doesn't open properly, please contact our technical support.

5. Now, you should be able to start working on your document. It will be saved automatically in your Word and synced back to SingleCase instantly. Other people can also open the document that you are working on (just by doubleclicking on the document in SingleCase). You can then work on the document together while seeing your mutual changes in realtime.

6. In order to attach documents to the main (leading) document, you need to first share them with Octoiur. This is done by right-click in SingleCase and choosing "Share with Octoiur add-on" option. If all goes fine, you should see a green confirmation button and the shared document(s) should get an Octoiur icon as well.


Note: you can share documents by one, or after selecting more at once (even from different folders). Alternatively, you can right-click and share the whole folder.

7. As a last step, you can attach the documents to Octoiur (from Cockpit or from the action Litigation or Arbitration icons in the ribbon).

8. After you finish the document, create the PDF with stamps as you are used to. Store it to you computer so you can upload it to SingleCase later. In the future versions, we will also support fetching final PDF documents back to SingleCase.

Troubleshooting

Q: I cannot open a document that someone else has prepared

A: Make sure that you have SingleCase connected with your Microsoft account. Then you should be able to access Octoiur files (marked with yellow icon in SingleCase) and share attachments to Octoiur.

Q: I am working on a document but the Octoiur ribbon does not have the icons active

A: You have probably opened the document directly in your Word (from your Desktop, Outlook etc.) and not through the proper way. Upload it to SingleCase (if it's not already), then right-click on it and choose "Share with Octoiur add-on". Now when you open the document, you should be able to make changes.

Q: I am trying to add attachments to an Octoiur document, but I don't see any attachments I can include in the list.

A: This can have more possible reasons:

  1. No documents were shared from case in SingleCase to Octoiur, see point 6.

  2. You are trying to attach non-supported files like DOC (instead of DOCX) or Excels. These are not allowed as attachments in Octoiur.

  3. The document is not properly created or shared from SingleCase. You will probably see a different Sharepoint site than "SC-Octoiur-Workspace" - usually "Kommunikationswebsite". Please see answer to the previous question for the mitigation


Q: I have edited an Octoiur document, but I don't see the last change in SingleCase

A: Please doublecheck that you have SingleCase connected with your Microsoft account. If you still don't see the change after connection or you are already connected to Microsoft, please contact our support.

Q: I don't see the Octoiur ribbon in my Word, what should I do?

A: Please check with your IT or Octoiur itself - it's possible that you don't have Octoiur installed properly.
