We have prepared a new invoicing system for you so that you can work with a large number of items without any problems. All changes are automatically calculated and saved, so you won't lose your invoice in progress. This will make it easier for you to prepare invoice items with bulk edits. This will save you more time. At the same time, the invoice compares the total reported and invoiced amount - you can see at a glance how much is being cut. For flat fee billing, the actual statement rate is calculated in the flat fee. In the invoice and attachment preview you can see the final invoice before it is issued. See below for a more detailed description of all features.
Filters
We have added the ability to filter. These are the filters Username, Case Name, Billing Role, Activity. You can easily find out how many hours from the invoice belong to partners. The main empty filter provides the option of full-text search.
If you need to search for anything else, use the main “empty filter”. After filtering, the information bar will show you the totals for the filtered values.
Summary information bar
You always have the total numbers in one place. They are graphically clearer and always stop at the top of the screen so you can see how many hours and money you have on the invoice. You don't have to keep scrolling up and down.
On the sheet you will find the number of reported hours. This number does not change even after adding a report directly on this page.
Next is the sum of the hours that will be invoiced. The price is also displayed, which may not correspond to the number of hours multiplied by the hourly rate, because prices for flat-rate groups are also included here.
Bulk editing
Another part of the Summary Information Bar is Bulk Actions. This feature makes it easier for you to work with individual billing items. You no longer have to perform actions with statements separately. You can simply mark selected items by dragging the mouse over the check mark in front of each statement or collectively for the entire file/project. Then select the action you want to perform. Such as creating a flat rate, merging multiple flat rates into one, or easily adding one statement that you forgot about. Bulk actions are performed in two ways:
With marked items
Create group
Add/Move to group
Change Case
Move it invoice
Write off
Return to for invoicing
Return and postpone
With other (unmarked) items
Write off unmarked
Return unmarked to for invoicing
Return and postpone unmarked
Split invoice
To keep track of the numbers you are performing mass actions with, use the information bar again. After marking the reports, you will see, in addition to the totals, the totals for the marked items (blue numbers).
Costs
The total cost amount that will be invoiced is displayed on the information bar. It always remains pinned to the screen so that you can always see it.
Pro zjednodušení práce s jednotlivými nákladami můžete využit hromadné úpravy. Např. vytvořit skupinu, odepsat nebo vrátit.
Discount and Increase
To prevent you from having to work with the Discount and Increase module, it is hidden in the lower part of the page under links Add discount / Add Increase.
After clicking the plus sign, three fields will appear for entering the discount/increase amount, percentage, and total amount. After entering one data, the other two will be automatically recalculated. If you want to cancel the discount/increase, simply close the section using the cross at the end of the line.
Administrative fee
To clearly see the administrative fee that you have set for the client. It is displayed in a separate section and is automatically recalculated with each edit. You can change the text that appears on the invoice or change its amount using a percentage or by entering a specific amount.
Invoice Preview and Invoice Actions
If you want to see how your invoice will look when you send it to your client, we've added a preview option. Clicking it will open a PDF of the edited invoice and attachments.
For better orientation, here is what happens to your invoice after using the following buttons:
Cancel and return to invoicing
All edits (such as creating flat rates) on the invoice will be canceled. All items will return to the To invoicing page.
Save and close
This will close the window for editing invoice items. All changes are automatically saved, so you won't lose anything.
Save and submit for issuing
You will submit the invoice for issuing to the backoffice and it will go from the "Invoice drafting" status to the "Ready to be issued" status.
Continue to issuing
You will reach the next step: Editing billing information.
